How to Track Volunteer Hours for College Applications

Colleges and scholarship committees want to see what you did, for how long, and what difference it made. The easiest way to show that is a simple habit you start now, not a scramble in senior year.

Why tracking matters

On most applications you describe each activity and how much time you spent on it, usually as hours per week and weeks per year. Without a record, students often undercount their hours or forget activities entirely.

A six-step system that works

  1. Pick one place to log everything. A notebook, a spreadsheet or an app: what matters is that every hour goes to the same place.
  2. Log the same day. Write the date, organization, what you did and how many hours while you still remember the details.
  3. Record a contact. Note a supervisor’s name and email. Scholarships and awards sometimes verify hours.
  4. Save evidence. Keep a photo, sign-in sheet or certificate with each activity.
  5. Group by activity. College applications ask about activities, not single days, so total your hours per activity.
  6. Write down your impact. Add a sentence about what changed because of your work. It makes application essays much easier.

What to write down for each activity

  • Date and number of hours
  • Organization and your role
  • What you did, in one or two sentences
  • A supervisor or contact person
  • Proof: photo, sign-in sheet or certificate

Turning your log into an application

When applications open, add up the hours for each activity and divide by the weeks you took part to get hours per week. Use your impact notes for the short descriptions. If you are also working toward an award, check the Congressional Award requirements.

My Award Tracker keeps this whole system in one place: log an activity in about 30 seconds, attach evidence, and see your totals by category and award goal at any time.
